Let's show you how to add files to your content library.
First of all, you need to have the Ability to 'Upload Files' switched ON in order to do this. If you're unsure, you need to speak to your Slidebank Administrator.
There are a number of ways you can add files to your library:
Via the 'Upload Files' button in the navigation panel or via your homepage
To a specific folder in the content library via the 'Upload to this Folder' button
Drag and drop files into your library
1. Upload via the 'Upload Files' button
If you upload files via 'File Upload', Slidebank will guide you through the following steps as part of the process:
Where to save your file(s)ย
Tagging your new file(s) with Metadata
Setting access rights for your file(s) - who to share with and what editing rights you give people
This method is a good option if you are uploading a single file or multiple files to the same folder location, and you want to apply the same metadata and file access rights to those files. This will save you going into the metadata/sharing settings file-by-file.
If you want to upload multiple files at once, but apply different settings to those files, check out Method 3.
To upload via 'File Upload', follow these steps:
Click on 'Upload Files' in the navigation panel on the left, or on your Homepage
If you already have a folder open in the content library, that folder will be pre-selected for you. Otherwise, you'll be asked to choose a folder to save into. Choose your saving location.
Drag and drop your file(s) into the upload space, or search for files to add from elsewhere on your computer. Click 'next' when done.
Tag your file(s) with metadata if appropriate. This will be applied to all files in your upload.
Tell Slidebank who should be able to see and use these files. You can select users at Department, Role or Individual User level. These users will be able to see your files in the library and use your slides. If files are not shared with them, they won't even know they exist.
Your file will upload in the background so you can continue working. When the upload is complete, you will see the file in your library.
2. Uploading files directly into a folder
This method is similar to Method 1 in that it will guide you through file sharing and tagging your file with metadata. The difference is that you'll select the folder you want to save into before giving the 'upload' instruction.
To do this, follow these steps:
Click on 'Content' in the toolbar
Navigate to the folder you want to add your file toย
Click on 'Upload to this Folder'
Find the file on your desktop/shared drive
Tag your file with Metadata
Tell Slidebank who should be able to access the file, and give other users editing rights if applicable
3. Drag and drop straight into the library
This is a great option if you need to do a mass upload quickly (and apply access settings etc. later on), or even to quickly add a single file.
You can also upload a file this way after editing, to create a new version of an existing Slidebank file.
You can drag files anywhere in the mid-grey content library space. If you already in a folder, the file will be added to that folder. You can also drag and drop a file right on top of a folder name and that's where Slidebank will put your file.
If you are at the top level of the hierarchy (e.g. you can see Department names in the library and no folders, Slidebank will upload your file(s) but they'll go into a holding pen before being added to the library. You'll need to click on 'File Activity' in the top right and give them a place to live before your colleagues will see them. Once your file has uploaded, you'll see a 'Choose Folder' button appear next to the file name.
NB. If you upload files via this method, you will not be guided through file sharing settings, so your colleagues will not automatically have access to them. Once they're uploaded you'll need to edit the sharing settings and/or metadata under 'File Options' (the three dots next to the file name in the library). You can hold down shift to select multiple files at once and apply these settings in batches.
โ
To add files this way, just drag a file from your desktop or shared drive, and drop it onto the content library. Watch it upload in the background whilst you continue working.
So those are three ways of adding content to Slidebank. Don't forget, you can also add Word, Excel and PDF documents to Slidebank, as well as video clips in mp4 format. This is so you can keep your collateral together where you need it.
