Searching for Slides and Files

Finding the content you need, quickly

Updated over 4 years ago

There are two types of Search in Slidebank:

  • Quick Search

  • Advanced Search

A Quick Search will search your entire database for your search term across three factors all at the same time:

  • Slide content - it will search the readable text boxes in all the slides in your database

  • Speaker notes - it will search any speaker notes that were associated with your slides on file upload

  • Metadata - it will search across presentation and slide-level metadata

In performing all of these searches at once, Quick Search is the most comprehensive search available in Slidebank.

You'll find the Search bar in the top left corner of the interface.

To narrow down a search you can insert the word 'AND' (or ‘and’) between words. For example, entering the word 'sharing’ followed by ‘and’ then the word ‘connecting’ retrieves only slides and presentations that contain both the word 'sharing' and the word 'connecting'.

To widen a search instead, you can insert the word 'OR' (or 'or') between words which, in the above example, would retrieve all slides and presentations that contain either word.

The content library on the left will then display entire files that match your search criteria, and the main screen will show individual slides, possibly from a range of different presentations.

Slidebank will only display the results from files that you have been given access to.

In addition, you can search for specific phrases by enclosing the phrase in speech marks ("). Therefore, searching for "sharing slides is an excellent way of connecting with people" will return only slides and files than contain that exact phrase.

Lastly, it is often useful to search for the first part of a word, for example the letters 'con' (from the word 'connecting'). This can be done by using the 'wild card' symbol, which is an asterisk (*). For example, doing a 'wild card' search for 'con*', will then find the slides and files containing any words that start with 'con', such as connecting, consider or consult.

Slidebank will remember your recent searches in the search bar drop-down menu, so you can quickly re-run them.

Click on the Search bar in the top left and select 'Advanced Search' from the drop-down menu.

Advanced search will bring up a number of metadata fields for you to search within. Some of these will be data fields that belong to the files themselves, such as file name. Others will be Metadata fields that your Slidebank Administrator has designed for your site. These may be fields that are used to categorise your content, or fields for comments.

Advanced Search will allow you to drill down into these metadata fields, effectively ignoring everything outside of the fields you are searching within.

Slidebank will run File-level searches and Slide-level searches separately but at the same time. You can also put AND/OR conditions on the search parameters you put on these searches.

For instance, if you wanted to search for a file within the 'Internal Documentation' category that also (AND) had a filename containing 'HR', you would be able to do this.

The types of metadata field you might see include:

  • Text

  • Numbers

  • Radio Buttons

  • Drop-down lists

  • Check boxes

  • Date

  • Multi-line text box

The type of Advanced Search you can do will correlate to the types of metadata fields your Admin has set up. For instance, if one of your metadata fields is a 'Date' field, Slidebank will let you search within a particular date range.

As with Quick Search, Advanced Search will split out search results into 'Entire Files' and 'Individual Slides', as appropriate. The content you see will be determined by the files you've been given access to, so you'll only ever see search results from files that have been shared with you.
