The Slidebank integration with Cisco Webex Teams allows you and your users to receive file notifications via Webex Teams instead of via email.
Overview
Types of notification
The following notifications are available:
Notifications to individual users (they receive a private notification in Webex Teams when...)
Slide unavailable in virtual presentation (when a master slide you're using is deleted or expires and is no longer available for use in your virtual presentation)*/**
Slide changed in virtual presentation (when your virtual presentation automatically updates to reflect changes in master slides)*/**
Send file email notifications to messaging service (you can opt into various email notifications for each file in Slidebank. This setting diverts these notifications to Cisco Webex Teams instead of email)*
New file available (a new presentation has been updated that you have access to)
* You won't receive these notifications if you own the Master slides driving the update
** These will be sent even if users have opted out of notifications for relevant files
Messages (emails) to individual users
Send user emails to messaging service (when someone emails you a file link through Slidebank, this will be diverted to Cisco Webex Teams)
Notifications to a Space
New file upload notification to all users
Presentation saved notification to all users
Slidebank news
NB all members of a Space will see all these notifications regardless of their file access rights in Slidebank.
Bot links
Slidebank communicates with Webex Teams via Bot, which is created at the Webex side. The bot receives messages from Slidebank and communicates those in the Webex Teams account.
To begin using the Webex Teams integration, you must first create a bot at the Webex Teams side. To do this you may need to be a Webex Teams administrator.
You can have your Slidebank account communicating with multiple Cisco Webex Teams bots, which is useful if you want different types of messages being sent to different Spaces.
The bot is identified by an access token, which is revealed when the bot is created. This token needs to be copied to a text file for future reference.
Step 1: Creating your Bot
To create your bot, you'll need to log in to your Cisco Webex Teams developer site at https://developer.webex.com/my-apps/new/bot
Create a name for your bot and add an icon and description. Do not include spaces or unusual characters in the bot name. Click 'add bot'.
The next screen will reveal a bot access token. Copy this and save it somewhere in a text file for future reference.
Do not submit the bot to the app hub if given the option.
Step 2: Add your bot to Webex Teams
A bot operates just like a member of your team in Webex Teams. You'll need to add your bot to your team so it can contribute to the team messages.
When you created your bot, Cisco Webex created an email address for it, which will be yourbotname@webex.bot.
To add your bot to your team, open Cisco Webex Teams and navigate to the team you want your bot to join.
Click 'Members' and 'Add Team Member'.
Enter the email address for your bot and it will be added to your Team.
Step 3: Connecting to Slidebank
Next, you'll need to connect your Webex bot to your Slidebank account.
To do this, you'll need the bot token that you copied into a text file.
In Slidebank, click 'Setup' and 'Integrations'. Select Cisco Webex Teams from the integration menu:
Slidebank requires the URL to the Webex site so it can connect to the service.
Enter the Webex URL (currently api.ciscospark.com)
Now create a link to your bot by pasting the access token into Bot Link #1 where it says 'Bot Access Token'
Select the notifications you wish to enable for your users.
You can also send notifications to a particular Space in Webex Teams. These messages will be seen by all members of that Space, regardless of whether they have access to the Slidebank files driving the notifications. Examples include new files that are uploaded to Slidebank.
You may want to use the Spaces for Slidebank Administrators only if there are file sensitivities within your Slidebank account.
Click on 'Retrieve New Spaces From Webex' to find and connect to any Spaces you have set up.
You can create bots for different teams within Webex, simply by repeating the process and adding new bot links within Slidebank.
Step 4: Test your bot
Once your bot has been set up, you'll want to check that it's working correctly.
Try taking actions within Slidebank that will trigger the notifications you've requested.
You may want to try logging in as two different users, since working with your own files may not trigger the above messages.
If you spot anything unusual or the integration isn't working as you'd expect, please get in touch so we can help!
