Slidebank Reports give valuable insight into how your Slidebank site and your content are being used.
They can be found under the 'Metrics' tab on your left hand toolbar. Reports are an Administrator tool and can only be accessed by Admins. However, reports can be downloaded and shared offline with relevant audiences if desired.
This article explains the structure of Slidebank reports and how to use them. More detail on the content of reports can be found in this article about report content.
Off The Shelf Reports Available in Slidebank
The following reports are ready-made and available to Administrators in Slidebank:
Charts - a visual representation of Slidebank usage data
All Users - an overview of general user login activity
All Files - an overview of the files contained within Slidebank
Views By File - files ranked by the number of user views
Views Per Slide - slides ranked by the number of user views
All Uploads - an overview of files uploaded by users
Downloads By File - files ranked by the number of downloads
Downloads Per Slide - slides ranked by the number of downloads
You can read more about these specific reports in detail in the article Slidebank Reports. For more information about Charts read the article about what Charts are available in Slidebank.
This article will focus on how reports behave and how to filter them to get the data you're looking for.
Report Structure
Each report consists of an overview with a summary of aggregated data (e.g. total number of logins) and a table showing the data broken down by user or by file name, or whatever is most relevant to the report in question.
The tables have a number of columns, most of which you can apply filters to in order to quickly access the specific data you need.
Taking the 'All Users' report as an example, here you can see the data summary at the top of the report, and the table underneath.
Each row of the table holds data for a particular user, which in this instance sets out:
The user's login name
Their user name as displayed in Slidebank
Number of logins for the reporting period
Total size of the files owned by them
Size of all the downloads they have made
Number of file views they have made in Slidebank
The Department(s) they belong to
The Role(s) they belong to
Whether they are an Admin, Super Admin or ordinary User
The date their profile was created
The date of their first login
The date of their most recent login
The date their access to Slidebank was removed (if applicable)
Just above the table to the right, you can select the number of rows that you want to appear on each page. The options are to show All rows, or limit the display to 10, 20, 50 or 100 rows at a time.
Filtering Report Results
There are two ways in which you can apply filters to the data you will see in the reports.
1) Report filters
There are several filters that you can apply to the report that sit above the data table. These are:
Filter by month. The default setting is for 'All Months', which shows data for the lifetime of your Slidebank account. However, if you want to look at specific months in isolation, this is where you would apply that setting.
Filter by letter. The default setting here is also 'All' but Slidebank displays an alphabetical filter which lets you quickly switch to a view of users or files only beginning with 'B', for example.
2) Column filters
At the top of most columns, you will find ways to filter the records within the report.
Again, taking the 'All Users' report as an example, the filters you can apply to the columns here are:
Login and User name - these columns have a text box that lets you type the name of a particular user you are looking to find. This will rapidly return results for the relevant users.
Department and Role - these columns have drop-down menus that let you select the Department and Role that you want to view data for.
Admin - check boxes allow you to filter in/out any users who are Super Admins, Admins or ordinary Users.
Created, First Login, Last Login and Removed - these columns have date ranges that allow you to search for data before or after a certain point, or within a specified date range.
Sorting Results
Clicking on the name of the column will sort the results according to the values in that column.
For example, in 'All Users' clicking 'Logins' in the column heading will sort the user records by the most to the least number of logins.
If you click on 'Logins' again, the order will be reversed so that records are displayed by least to most number of logins.
Links to More Information and Slidebank Features
Some of the items within the table records contain links to other information or features within Slidebank, or the option to bring up a menu so you can take further action.
1) Links to Other Information
An example of the link to other information is the user name in the All Users table. The square symbol with an arrow next to the user name indicates that clicking on the user name will bring up more information in Slidebank.
In this example, clicking on the symbol or the user name will open a user profile box (the report will remain open underneath so your place won't be lost). Within this user profile box you can view and edit further information about the user, for instance make them an Admin or change their Role in Slidebank.
2) Options Menu for Further Actions
The three dots next to an item in a report record indicate that an options menu is available, allowing you to take further action relating to that record whether it be a user or a file.
In the example of the 'All Users' report, you will see the options menu symbol next to the user name. Clicking this will bring up a menu giving you the option to:
Email the user an invite to log in to Slidebank
View and update the file access for that user
Impersonate the user within the Slidebank application
The options available to you will depend on the context of the report, but the behaviour within Slidebank will be the same wherever you see these three dots.
Exporting Reports To Excel For Analysis Offline
Once you have applied the desired filters, or left the report as raw data, Slidebank will allow you to export the results so you can continue to analyse the data offline.
There are two ways of doing this:
1) Export as an Excel workbook
Clicking the download as XLSX button (which looks like a cloud with downward arrow and XLSX beneath it) will download your table in Excel workbook format, which you can open directly in Excel once downloaded.
2) Export as a Text File
Clicking the download as a text file button (which looks like a cloud with downward arrow and TXT beneath it) will down load your data in tab-delimited text file (.txt) format. Once downloaded and opened, you can copy everything in the table into a blank Excel workbook or your spreadsheet application of choice.
Adding Value to Your Slidebank Experience
By exporting your user or file data in its raw, unfiltered form you can create your own tailored reports in spreadsheets offline. Our ready-made reports are there to help you filter your data quicker and make life easier for you.
However, if you think our off-the-shelf metrics can be enhanced in some way to make them more valuable to you, please do get in touch and let us know.
