Ready-Made Slidebank Reports

An overview of the reports you'll find in the Metrics section (see also Charts)

Slidebank has a number of built-in reports that give you insight into how the application is being used in your company.

This article explains what you can find in each of these reports.

Reports are only accessible by Administrators, and can be found under the Metrics tab in the toolbar. You might also want to check out the Charts functionality for a visual representation of your account data.

Here's an overview of the reports you'll find in Slidebank:

The 'All Users' Report

The 'All Users' report will give you stats on user login frequency as well as the number of files owned, downloads and file views by user.


To access this report click on 'Metrics' then 'All Users'.

You'll see a table divided into columns. Some of these, e.g. Department and Role, have filters that you can apply to customise the table results.

Above the table you can see some overarching stats relating to the table contents. For the report here we can see that there is a total of 36 users who own 107 files between them, which add up to 471 MB. Cumulatively, the users have made 40 downloads, viewed 5,963 files and logged in a total of 1,191 times.

The table breaks these stats into individual user records. In the table you can see several columns for each user:

  • Login alias (often their email address)

  • User Name (as it is displayed in Slidebank)

  • The number of times each user has logged in (during the time frame specified for the report - in this instance 'all time')

  • How many files each user owns in Slidebank

  • How many files the user has downloaded

  • How many files the user has viewed

  • The Department(s) they belong to

  • The Role(s) they belong to (click the drop-down 'All' list to filter these)

  • Whether they are a Slidebank ordinary User, an Administrator or a Super Admin

  • The date their login was created

  • The dates of their first and last login

  • The date that their access was removed from Slidebank (if their login has been removed)

The following columns can have filters applied to place limitations on or tailor the contents of the report:

  • Login

  • User Name

  • Department

  • Role

  • Admin (lets you filter out Super Admins, Admins or ordinary Users)

  • Created from/to (lets you apply a date range within which user profiles were created)

  • First login from/to (lets you apply a date range within which users first logged in)

  • Last login from/to (lets you apply a date range within which users most recently logged in)

  • Removed from/to (lets you apply a date range within which user access to Slidebank was removed)

Taking action within the All Users Report

Within the report, you can open up the user profiles to make edits or view further information without leaving the report view. To do this, click on the icon next to the user name (the square with an arrow in it).

This will open up a dialog box with the user's profile information, allowing you to make edits to their user details, for instance allowing you to add or remove them from a Role in Slidebank.

Options Menu of Further Activities

Anywhere you see three vertical dots in Slidebank there will be a menu of options available. For example, the dots next to a user name in the 'All Users' report will bring up the options to:

Editing the file access will bring up a new box that shows all the files the user can access. You can revoke access to these from here. You can also grant them access to all Slidebank files.


Impersonating a user lets you view Slidebank through their eyes, which is a great way to check that their abilities settings and file access are correct.

An audit trail of user activity

The link that you will see in the 'Logins' column will show you a detailed report of all logins made by that user, complete with time stamps.

Clicking any Login session drills down into the activities the user carried out during that session.

Note: Clicking on any of the column headings in the table will sort the results by that column, e.g. users will be ranked by the number of logins, or the size of their files etc.

Date ranges can be applied to any of the date columns to help find users that have been added / logged in / deactivated within a specific time frame.

The 'All Files' Report

This report gives you a similar bird's eye view of all the files stored within your Slidebank account, where they are stored, how many slides they contain, their size, ownership and popularity.

It is a useful report for auditing the content in your site, seeing what's trending and weeding out your less successful content.

As with all other Reports, the whole table can be sorted by clicking a column heading, and you can search for any File, Department, Folder or Owner just by starting to type into one the boxes at the top.


The last four columns store the dates on which the file was Created and Removed (if applicable), then the dates during which the file was 'Live' within Slidebank.

These 'Live' columns relate to the expiry dates that can be placed on files. Once a file reaches its expiry date it will remain in the application but will go offline for most users (other than admins and the file owner). This report can be a good way of keeping track of files that are live or have expired.

The options menu (three dots) within the All Files report allows further actions such as:

  • Go to location (shows the file in the content library)

  • File Access and Privileges (view or amend file access settings)

  • File metadata (view or amend the metadata that the file is tagged with)

  • Email file (share the file outside of Slidebank)

  • Information (key stats relating to the file, and settings for notifications and file visibility)

You can amend the file access for the specified file by selecting / deselecting groups of users or individuals in the file access box that pops up.

You can also edit a file's metadata without leaving the report.

Slidebank will let you email a file that shows in the report without leaving the report view. You'll find a 'Send email' box pops up when you click on 'Email file' in the options menu.

The file information option will show you key data about the file, alongside a trend report. It will also give you options to amend the notifications that are sent when the file is changed, and to hide the master presentation in the content library but allow other users access to the content within virtual presentations.

The 'All Files' report gives you the power to quickly access and carry out core administrative tasks for the files without needing to find them first in the content library.

As with other reports, this data can be exported for analysis offline.

The 'Views By File' Report

This report has a different entry for every view event that occurs in Slidebank. Each time a file is viewed by a user, it will be listed here, with the following information:

  • File name

  • Number of slides the file contains

  • Department the file belongs to

  • The folder the file lives in

  • The version number that's been viewed

  • The size of the file

  • The file owner

  • Whether the file is a Master file (yes) or a Virtual file (no)

  • Date and time on which it was viewed

  • Who viewed it

The table can be sorted by column, so to see every view event by file you can click on the 'Viewed File' column header, which will sort the data by file name. You can also search within the file name box to filter the results.

You may want to see what a particular user has viewed on a given day, in which case using a combination of filters on the 'Viewed by' and date columns will give you the data you're looking for.

This is quite granular information, which is probably best used when a particular question is raised about file or user activity.

The 'Views Per Slide' Report

This report will show you your most popular slides in Slidebank in terms of the number of times they've been viewed within the application.

The table will show the originating presentation, the number of slides it contains, and the number of the slide that is being ranked in the table.

In the example above, we can see that slide number 3 in the Boston Law presentation has been viewed 372 times.

The report shows where the file is located, who owns it and which version of the presentation the slide belongs to.

Clicking on the link by the file name will bring up a preview of the file so you can click through the presentation without leaving the report view.

The options menu brings up the following options:

  • File Access and Privileges

  • File Metadata

  • Email File

  • Information

The 'All Uploads' Report

This report lists every upload event within Slidebank and displays:

  • The uploaded file name

  • The number of slides it contains

  • The Department and Folder it belongs to

  • The version number

  • The file size

  • The file owner

  • Dates on which it was uploaded, created and modified

  • The name of the user who uploaded it

Date range filters can be applied so you can run reports on new uploads within a given month or quarter, for example. You can also filter the results to see all the uploads made by a particular user.

The 'Downloads by File' Report

The 'Downloads by File' Report is very similar to the 'Views by File' Report (see Above), except the 'Viewed On' and 'Viewed By' columns are replaced by 'Downloaded On' and Downloaded By'.

As before, these columns can be filtered and sorted using the options in the headers. This allows you to filter by file name or apply date ranges to your report, for instance.

The 'Downloads Per Slide' Report

Much like the Views per Slide report, this report lists each download event from the individual slide perspective. That means you can get a comprehensive list of your most (or least) downloaded slides in Slidebank. This can be useful information when conducting a content audit.

The report will indicate whether all slides have been downloaded simultaneously from a presentation, or just select slides.

The data can be sorted and ranked by clicking on the various column headings.

The Emails Report

This report provides an audit trail of all emails sent via the Slidebank application.

It will provide you with information about:

  • when the email was sent

  • The type of email (e.g. a presentation link or password reminder)

  • The email subject

  • The body of the message

  • The sender

  • The recipient(s)

The report itself does not detail the recipient tracking, e.g. whether and when the email was opened and how many views the file received. However, individual users can see this for the emails they have sent by clicking on the 'Sent Emails' tab on the toolbar.

The 'Share Links' Report

In Slidebank, users can generate links to files that can be shared outside of Slidebank. There are several forms of file sharing link that can be created:

  • Library link (requires access to Slidebank to retrieve)

  • Slideshow link (opens in a viewer within a browser, no login required)

  • Download link (downloads directly in browser, no login required)

The Share Links report documents each of the links that are generated by Slidebank users within the account.

The report lists:

  • The date the link was created

  • The link type

  • The link itself

  • The filename

  • Access required to retrieve the link (see above)

  • The number of link clicks

  • Expiry date of the link

  • Whether and when the link was removed from Slidebank

Once more, filters and sorting can be applied, and the report can be downloaded for further analysis or sharing.

Since these links are generated in Slidebank for sharing via external tools, they do not track the identities of the link recipients. For that to occur, the links would need to be sent via email through the Slidebank app (as above).
